Well PeterInvolve document control personnel in kickoff meetings with clients to establish a clear, agreed-on framework for the project.Effectively communicate document control policies and procedures to your team and your clients.Allow sufficient time for document control to complete its process to ensure the timely and accurate delivery of the required documents.Avoid making definite commitments to clients regarding the delivery of time-sensitive documents. (under-promise, over-deliver)Ensure project documentation is current and the latest templates have been utilized. Be easily accessible to make any necessary corrections.Confirm any uncertainties with the document control department before having drawings and/or documents signed off for issue.
Difficulties we face are,Lack of understanding of the role of Document Control - leads to a lack of recognition of the profession.The role is much more varied than simply filing and data capturing. It includes protecting the company’s interests by keeping all formal, legal evidence in case of litigation, audit, investigation; as well as protecting the safety of the users by ensuring that they only work with the latest approved and authorized documentation.A clearer understanding will result in less backlash and more productivity.
