My name is Dr. Alicia Grant, and I will explain our vision, project goals, communication strategy, leadership approach, and how each of you plays an important role in our success.
Good morning, everyone, and thank you for joining today's project kickoff meeting.
Meridian Health Network

Our current EHR has limitations that create inefficiencies, duplicate documentation, and communication barriers across departments.
The new cloud-based platform will allow providers to access patient information securely from any approved location, improve care coordination, reduce unnecessary duplication, and support better clinical decision-making.

1. Our Vision is Simple!Every healthcare professional should have timely access to accurate patient information so they can provide safe, coordinated, and efficient care.
2. This vision sounds great, but how will leadership make sure employees are kept informed throughout the project?"
Slide: 4
That's a great question. We will keep everyone informed through regular updates, open communication, and honest discussions about our progress and any challenges we face. Let me explain how we'll do that.
Slide: 5
As leaders, our responsibility is to keep patients, employees, and the organization's mission at the center of every decision. We'll be transparent about timelines, risks, and progress while encouraging questions and feedback throughout the project. By working together and communicating openly, we can build trust and ensure a successful EHR transition.
Slide: 6
1. Change can be challenging, but with the right plan, we can make the transition successful. We'll follow Kotter's change model by communicating the vision, removing barriers, celebrating early wins, and reinforcing new workflows
What if some employees are resistant to using the new EHR?
Slide: 7
We want this project to be a team effort. We'll encourage feedback through surveys, team meetings, and open discussions so we can quickly address concerns and improve workflows. To help make that happen, each department will have a dedicated change champion.
Slide: 8
Each department will have a change champion who will support their team, answer questions, and communicate concerns back to project leadership. They will also help reinforce the vision and assist with training
Slide: 9
Each department will have a change champion who will support their team, answer questions, and communicate concerns back to project leadership. We'll choose individuals who are respected by their peers, communicate well, and are committed to helping others succeed during the transition.
Slide: 10
This project isn't just about implementing a new system—it's also about developing future leaders. By mentoring our change champions and encouraging professional growth, we're building leadership that will benefit the organization long after this project is complete.
Slide: 11
We'll measure success by tracking system adoption, staff satisfaction, documentation efficiency, and patient safety outcomes. These results will help us evaluate our progress and make improvements when needed.
What happens if we don't meet our goals right away?
Slide: 12
We'll review the data, identify what's causing the problem, and make adjustments. Continuous improvement is part of every successful healthcare project. Even with careful planning, every project comes with risks.
Slide: 13
Our next steps are to begin staff training, identify department champions, and prepare each team for implementation. Your participation, feedback, and commitment will be essential to making this transition a success. Stay engaged, attend training sessions, ask questions, and share your feedback. The more involved we are from the beginning, the smoother and more successful our transition will be.
Slide: 14
This project is about more than implementing a new EHR—it's about improving patient care, supporting our teams, and preparing Meridian Health Network for the future. Together, we can create a more connected, efficient, and patient-centered healthcare system that benefits everyone.
How will we know we've truly been successful?
Slide: 15
We'll know we've succeeded when our staff feel confident using the new system, our workflows are more efficient, and our patients experience safer, higher-quality care. Success isn't just about technology—it's about the positive impact we make together. Thank you all for your time and commitment.
